Applying for Certificates of Origin, Certificates of Free Sale, or Certification of Other Documents

When you Log In to Chamber Certification, you will see three buttons at the top of the page; click the button for the type of document you wish to apply for.  The Applications are simple, straightforward, and similar to completing a paper application. The first time you log in, you must add your first Consignor and first Consignee by clicking "+ Create new ..." in the lookup. Your Consignors and Consignees will now be saved for future Applications you wish to create.

Submitting your Application

Before proceeding with your application, upload the application attachment documents to the "Click to Add" document upload areas. For a Certificate of Origin, you must upload the export invoice associated with the shipment. If the overseas buyer requires it, you may request that the Chamber certify the invoice. You may optionally upload Other Documents if you need any additional documents related to the shipment, to be certified by the Chamber.

After completing the Application Form, select the "Processing Method".

There are three options for submitting Applications:

Electronically return Certified PDF — This is the most common processing method for Certificates of Origin (this method is not available for Certificates of Free Sale, as foreign governments want a signed and notarized document). When you request an Electronic Return, your approved Certificate of Origin or Other Document will be returned to your Homepage as a PDF. Certificates of Origin contain a QR code, which customs authorities in the destination country use to verify the document's authenticity.

Chamber print, wet stamp sign, and ship — Choose this method if you wish to have the Chamber print your document, manually sign it, apply a wet stamp and raised seal, and ship it to the overseas buyer if required. The completed document will be shipped to you (or another party at your request) by courier service.

Legalize/Apostille and Ship — Select this option if your documents require legalization. The Chamber will process your documents and arrange for Legalization by the appropriate embassy or by Apostille for countries that are part of the Hague Apostille Convention.

Once you're happy with your Application, click the Submit button to send it electronically to the Chamber. (NOTE: There is a "Save as Draft" button at the upper right if you wish to save the document as a draft for later submission to the Chamber.)

Approved Applications

When the Application is approved, you will receive an email from us advising you to log back in to the system and issue your Certificate of Origin. If you requested a Chamber-Printed or Legalized document, we will send an email notifying you of the next steps.

Rejected Applications

If we encounter an apparent problem with your Application, including issues that could cause potential delays at Customs, the Chamber will reject it. You will receive an email with details on why the Application was rejected. You can log back in and see the rejected Application listed on the Home page (Active Applications). There is no need to re-enter the entire Application; click the Edit link shown, and you can edit your Application as required and resubmit it to the Chamber.

History

Please note that a history of all your applications, including those awaiting chamber approval, drafts, issued certificates, etc., is kept. Click the History link at the left of the page to access all your Application history. TIME-SAVING HINT: You can search for previous Applications in the History, view the Application, and click “Copy” to create a new Application that is a copy of the previous one.
